Plunder Scenario 33

You're noticing a large number of requisitions coming through that already have invoices. What do you do?

AP Response:

Essentially, these are unauthorized procurements. While some of them may seem harmless, you do not want to turn a blind eye to your end-user practice of circumventing your purchase authority. Doing so could lead to serious infractions. Address your end-users with education. Begin by reminding your end-user of the policy with each infraction. Also offer the entire community training on unauthorized procurements through live and virtual meetings, videos on your website, amd/or written guidelines. If repeat offenders continue, then you should begin handing out consequences. Finally, be sure to discuss all concerns and plans with the agency head and other administrative members. You won't likely find success with your efforts without their support.
